Employees driving company vehicles
A business whose employees share vehicles describes them to the insurer as a pool: every employee who may drive, every pooled vehicle, and where each is kept overnight. Insured status follows permission, not an assigned driver. ISO's CA 00 01 11 20 business auto form makes "Anyone else while using with your permission a covered "auto" you own, hire or borrow" an insured, with five exceptions, and Utah Code 31A-22-303(1)(a)(ii)(A) has an owner's liability policy insure any person using a named vehicle with express or implied permission. The form names no drivers, so send Redoubt every employee who drives any pooled vehicle, occasional drivers included.
Does commercial auto insurance cover any employee who drives a shared company vehicle?
ISO's business auto form CA 00 01 makes any employee driving a covered auto the business owns, hires or borrows with permission an insured, with five exceptions. The 11 20 edition, Section II.A.1, lists as insureds "You for any covered "auto"" and "Anyone else while using with your permission a covered "auto" you own, hire or borrow," and the provision names no drivers. Utah Code 31A-22-303(1)(a), in the version effective May 3, 2023, governs "a policy of motor vehicle liability coverage under Subsection 31A-22-302(1)(a)," the coverage that 31A-22-302(1), effective May 6, 2026, puts in every policy bought to meet the owner's security requirement of 41-12a-301; under 303(1)(a)(ii)(A) an owner's policy must "insure any other person using any named motor vehicle with the express or implied permission of the named insured."
Two of the five CA 00 01 exceptions reach a shared fleet: under II.A.1.b(2) an employee is not an insured in a covered auto "owned by that "employee" or a member of his or her household," and under II.A.1.b(5) an LLC member is not an insured in a covered auto the member or a household member owns.
Does the insurance follow the vehicle or the driver in a shared fleet?
In a shared fleet the insurance follows the vehicle: the policy's covered auto symbols decide which vehicles are covered, and permission decides who is insured driving them. ISO's CA 00 01 11 20 says the symbols entered next to a coverage "designate the only "autos" that are covered "autos"," so under symbol 7, which reaches the autos "described in Item Three of the Declarations for which a premium charge is shown," a pooled van missing from the schedule is covered only on the conditions of Section I.B.2 for an auto acquired after the policy begins, which include telling the insurer "within 30 days after you acquire it," or, for liability, under Section I.C.3 as a temporary substitute for an owned auto that is out of service.
| Vehicle in the pool | Who is an insured while driving it | Form wording |
|---|---|---|
| Vehicle the business owns, on the policy's schedule | The business, and any employee driving it with permission | CA 00 01 II.A.1.a and b |
| Vehicle the business hires or borrows from an outside company | The business, and any employee driving it with permission, if the policy covers hired autos | CA 00 01 II.A.1.b and the hired autos symbol |
| Car an employee rents in the employee's own name for a job | The employee, with permission, while on duties for the business | CA 20 54 11 20 Employee Hired Autos endorsement |
| Employee's or LLC member's own vehicle used by the crew | Not the employee or member who owns it; other employees only with CA 99 33 | CA 00 01 II.A.1.b(2) and (5); CA 99 33 10 13 |
Is an employee hurt in a shared company vehicle covered by the auto policy?
ISO's business auto form excludes injury to an employee on the job, both in a claim against the business and in a claim against the coworker who was driving. CA 00 01 11 20 Section II.B.4 excludes bodily injury to an employee of the insured "arising out of and in the course of: (1) Employment by the "insured"", except for domestic employees not entitled to workers' compensation benefits and liability assumed under an insured contract, and II.B.5 excludes bodily injury to "Any fellow "employee" of the "insured"" arising out of that employee's employment. Section II.B.3 also excludes "Any obligation for which the "insured" or the "insured's" insurer may be held liable under any workers' compensation, disability benefits or unemployment compensation law or any similar law."
CA 00 01's definitions say ""Employee" includes a "leased worker". "Employee" does not include a "temporary worker".", so a temporary worker riding with the crew is not an "employee" under the form.
Which drivers go on a commercial auto policy when shared vehicles have multiple drivers?
Progressive's commercial auto quote checklist, read October 12, 2026, says licence numbers for all drivers let it review their driving records and determine risk factors. Its words: "When you provide driver's license numbers for all drivers on your commercial auto insurance policy, we are able to review their driving records on file with your state's Department of Motor Vehicles and determine the risk factors." ISO's CA 00 01 11 20 names no drivers; its Who Is An Insured provision turns on permission.
For a pooled fleet, send Redoubt every employee who drives any of the vehicles, occasional drivers included, with name, date of birth, licence number and class. Utah Code 31A-21-303(2)(a)(iv), in the version effective May 7, 2025, makes revocation or suspension of the driver's licence of "any other individual who customarily drives the motor vehicle" a ground for cancelling motor vehicle insurance before the term ends. Tell Redoubt when a new hire starts driving or an employee's licence is suspended.
How do you describe pool vehicles with no assigned drivers to the insurer?
Shared vehicles are described to the insurer as a pool: which vehicles are pooled, who may drive them, how keys are assigned and where each is parked overnight. ISO's CA 00 01 11 20 says the coverage form "is also void if you or any other "insured", at any time, intentionally conceals or misrepresents a material fact concerning" the form, the covered auto, the business's interest in the auto or a claim.
Describe the pool on five points:
- Which vehicles are pooled, and which, if any, are assigned to one employee
- Every employee who may take a pooled vehicle, including part-time staff and owners who drive
- How assignments work: a key board, a dispatcher, a sign-out sheet, or first come first served
- Where each pooled vehicle is kept overnight, and which ones employees take home
- Any employee's or owner's own vehicle the crew also uses for work
What do you send to get a quote for shared company vehicles, and what happens next?
Redoubt's commercial auto guide says to text Redoubt the vehicles and the date cover is needed, and Redoubt says what can be bound now and what to send. For a shared fleet, text the items below; the first reply is a conversation about how the pool, the drivers and any employee-owned vehicles go on the application.
- Every driver: name, date of birth, licence number and class
- Which vehicles are pooled, which are assigned, and how assignments work
- Each vehicle and trailer: year, make, model, body type and value
- Where each pooled vehicle is kept overnight, including any taken home
- The current declarations page, or the dates of prior coverage
- The USDOT number if the vehicles have one, a paragraph on what the business does, and the date cover has to start
